Technology for Library Staff: Zoom for RWWL Staff

An internal guide to the technology that RWWL staff use.

About Zoom

Zoom is a web-based video conferencing tool with a local, desktop client and a mobile app that allows users to meet online, with or without video. Zoom users can choose to record sessions, collaborate on projects, and share or annotate on one another's screens, all with one easy-to-use platform.

Zoom Tips for RWWL Staff

  • For new Zoom accounts, or if you need help with setting up your account, contact Cliff Landis at jlandis@auctr.edu or Dr. Kimberley Bugg at kbugg@auctr.edu
  • Be mindful to log out of Remote Desktop Connection before joining a Zoom meeting.  Several folks have accidentally started a Zoom meeting while still in Remote Desktop Connection, which means you're connecting from your desk at work!  This of course prevents you from being seen/being heard in the meeting.
  • If you need technical help with Zoom, submit an OCIT ticket at itsupport@auctr.edu
  • If you need extra training help, check out the Zoom support website.  If you need one-on-one training support, reach out to Josh Hogan (jhogan@auctr.edu) or Cliff Landis (jlandis@auctr.edu).
  • Screen sharing has now been set to "host only" by default, which will help prevent Zoombombing.  To change this setting while in a meeting so that participants can share their screens, select the menu next to Share Screen (^) and choose "Advanced Sharing Options...", then under "Who can share?" select "All Participants".
  • Please use meeting passwords when scheduling meetings.  When you copy the meeting invite the password will be automatically included.  This will help to prevent Zoombombing.

Zoom Instructions

For Scheduled Meetings:

  1. Click on "Schedule" icon
  2. When the options screen pops up, click on "Advanced Option"
  3. Under "Advanced Options" uncheck the box that says "enable join before host"
  4. Click "Schedule"
  5. Once your meeting has started, look at the host controls at the bottom of the screen
  6. Click on the arrow on the right side of "Screen Share" then click on "Advanced Sharing Options" 
  7. Under 'Who can share" click "Host Only" then hit the "x" at the top right to close out of that dialog box.

For Ad Hoc Meetings:

  1. From the home screen click on the "New Meeting" icon
  2. Once your meeting has been started, look at the host controls at the bottom of the screen
  3. Click on the arrow on the right side of "Screen Share" then click on"Advanced Sharing Options"
  4. Under 'Who can share" click "Host Only" then hit the "x" at the top right to close out of that dialog box.

For Attending Meetings:
 

  1. Check your settings before a meeting
  2. Test your microphone and audio before the meeting begins
  3. Turn off your PC notifications
  4. Mute your microphone
  5. Use the chat box to add comments without interrupting the hosts
  6. If you are not the person talking, mute your microphone
  7. Please click on chat and move the “chat box” to the corner of your screen
  8. Use the chat box to send messages directly to one trustee or to everyone
  9. You can raise your hand to alert the speaker you wish to speak. Behind the “participants” link, you will find the box where you may “raise your hand”
